Privacy Policy
Your career story can be deeply personal. This policy explains what TalkJob collects, why we use it, who helps us process it and the choices you have.
What this policy covers
This policy applies when you use talkjob.io, create a TalkJob account, record or upload career information, generate documents, buy a subscription or contact us. It does not cover third-party websites or services that have their own privacy notices.
The data we collect
- Account data: name, email address, password hash, account settings, region and authentication records.
- Voice and transcript data: voice recordings you submit, transcripts, word timings, confidence data and information derived from what you say.
- Career data: employers, roles, dates, skills, achievements, career evidence, uploaded Resumes and corrections or notes you add.
- Generated content: Resumes, cover letters and other documents or suggestions created through the service.
- Payment data: plan, subscription status, Stripe customer identifiers and transaction records. Stripe collects and processes full card details; TalkJob does not store them.
- Technical and support data: IP address, device and browser information, essential cookie data, timestamps, diagnostic and security logs, and messages you send to us.
Please avoid recording special-category information—such as health, ethnicity, religion, political opinions or trade-union membership—or information about other people unless it is genuinely needed for your career story and you are entitled to share it.
How and why we use data

We do not sell your personal data. TalkJob does not make decisions producing legal or similarly significant effects about you solely by automated means. Generated suggestions may be inaccurate; you remain in control of what you keep and use.
Voice, transcripts and AI
TalkJob sends audio to a speech-to-text provider to create a transcript. We then send relevant transcript or career content to AI providers to extract, organise and draft career material. Depending on service configuration and availability, those providers may include Deepgram, OpenAI and Anthropic.
These companies process data on our instructions to provide their services. We use their business/API tiers, which do not use your content to train their own models, and we do not permit your personal data to be used to advertise to you.
Who we share data with
We use carefully selected service providers, including:
- Deepgram — speech-to-text transcription.
- OpenAI and Anthropic — AI-assisted extraction, organisation and drafting.
- Stripe — subscription and payment processing.
- Resend — transactional account email.
- Cloudflare — DNS, content delivery, network security and R2 object storage for uploaded files and recordings.
- Hosting and infrastructure providers — running, securing and backing up the service.
We may also disclose data to professional advisers, regulators, law enforcement or a buyer of our business where legally permitted and necessary. We require processors to protect personal data and use it only for agreed purposes.
International transfers
Some providers may process personal data outside the UK. Where a destination is not covered by UK adequacy regulations, we use an approved safeguard such as the UK International Data Transfer Agreement or the UK Addendum to standard contractual clauses, plus any supplementary protections required after a transfer risk assessment. In practice, where a provider processes data outside the UK we rely on the UK International Data Transfer Agreement, or the UK Addendum to the EU Standard Contractual Clauses, together with each provider's own published safeguards.
How long we keep data
We keep personal data only for as long as needed for the purposes above, taking account of account status, legal obligations, disputes and backup cycles. The launch retention schedule is:
- Raw voice recordings: deleted after successful transcription, and in any case within 30 days.
- Transcripts, career profiles and generated documents: kept while your account is active, then deleted within 30 days of account deletion, unless you delete them sooner.
- Uploaded Resume source files: deleted after parsing, and in any case within 30 days.
- Account and support records: while needed to provide the service, then up to 12 months after your account closes.
- Payment and tax records: for the period required by UK law, generally up to six years after the relevant financial year.
- Security logs and backups: security logs up to 90 days; encrypted backups up to 35 days.
Deletion from backups may take until the applicable backup cycle completes. During that period, backup data is isolated and not used for ordinary product purposes.
Your choices and rights
Depending on the circumstances, UK data protection law gives you the right to access your personal data; correct it; receive portable data; ask us to erase or restrict it; object to processing based on legitimate interests; and withdraw consent without affecting earlier lawful processing. These rights can have legal exceptions.
You can edit career information in TalkJob and request account deletion or an export by emailing us. We normally respond to valid rights requests within one month and may need to verify your identity.

Security and cookies
We use organisational and technical safeguards designed to protect personal data, including access controls, transport encryption, restricted production access and monitoring. No internet service is completely secure, so please use a strong, unique password and tell us promptly if you suspect unauthorised access.
TalkJob uses cookies and similar storage that are necessary to sign you in, secure the service and remember essential state. We do not currently use advertising or third-party analytics cookies; if we introduce optional analytics in future, we will ask for your consent first where the law requires it.
Children and changes
TalkJob is not intended for anyone under 18, and we do not knowingly collect the personal data of under-18s. Contact us if you believe a child has provided data to the service.
We may update this policy as TalkJob or the law changes. We will post the revised policy with a new effective date and provide prominent notice where a change materially affects your rights.
